Tabletop Adventure Con

Exhibitor and Sponsor Agreement

This is the current agreement in place in order to help Sponsor the Tabletop Adventure Con or be an Exhibitor.

Sponsors have the ability, and are not required, to have a space to promote their business at a discounted rate. If they are interested in having a table space at the event, they will need to select that they are interested in both being a sponsor and exhibitor on the application. Silver through Diamond level sponsorships will come with special vendors spacing. Any and all gifts will be used to help facilitate the event, pay for items needed for the event, promote the sponsor on materials for the event, and to promote The Healing Road LLC and the Tabletop Adventure Con.

BOOTH RENTAL. A Booth will depend on the size of spacing you request. Pricing is found in the event website. Exhibitors can view pricing and spacing once application is approved.

Vendors are limited to reserving a maximum of up to 2Booth spaces. Space must be finalized within 20 days of the start of the event.

TABLE STAFFING. Exhibitor representatives must staff their respective booth(s) during all hours that the Exhibitor floor is open. Exhibitor floor hours can be seen below. If you cannot attend the entire event, please make arrangements with Convention staff prior to the Convention. A non-staffed booth is at the risk of the Exhibitor.

EXHIBITOR SETUP AND BREAKDOWN. The Exhibit area will open for setup on the Friday before the Tabletop Adventure Con at 5pm. All Booths must be ready by the time the Exhibitor Area opens. Sunday Breakdown can begin at 4pm and must be completed by 6:30 PM.

With special agreement, Exhibitors may set up their Booths after the Convention has started. The Exhibitor Area will be secured the evening prior to the event by the Grace College locking up the building and having security cameras in the areas of the table spaces and Saturday night of the event weekend.

EXHIBITOR DISPLAY. Once assigned a Booth space, Exhibitors may arrange their spot however they see fit to best advertise their wares. Please ensure that all displays are safe to aisle traffic and do not block neighboring Exhibitor’s Booths in any way. Keep all wares and advertisements within your provided space.

SALES POLICY. Exhibitors can sale items and food items in their vendor areas only, other than those who have special permission. Merchandise sales are restricted to the provided space. Exhibitors are prohibited from attempting to sell merchandise outside of the Exhibitor Area, unless otherwise approved, though advertising or flyer/coupon distribution is allowed, so long as said distribution does not interrupt any on-going games or events. We allow the sale of sealed collectable card Products. At this time we are allowing the sales of single card sales. This could change in the future. You may also advertise what cards you sell in your business.

Exhibitors will not be in possession of any illegal or adult items while on premises. This includes drugs, bootleg materials, alcohol, tobacco or pornographic materials. (As fantasy art can be risqué, it is acceptable so long as it does not portray explicit sexual acts.) No adult themed (pornographic, tobacco, alcohol, paraphernalia, or grotesque Adult) items will be allowed in any of the event areas.

INDEMNIFICATION.

Exhibitor and Sponsors shall defend, indemnify and hold the Tabletop Adventure Con and The Healing Road LLC harmless from any claim or lawsuit arising from any act or omission on the part of the Exhibitor, its agents, employees or assigns that may cause harm to others, including but limited to any and all claims or lawsuits arising from or concerning retail licensing and licensing, copyrights and patents of the merchandise sold by Exhibitor. In the event Tabletop Adventure Con and The Healing Road LLC takes legal action to enforce this provision and prevails, Exhibitor shall be responsible for the payment of all costs, expenses and attorney fees incurred by Tabletop Adventure Con and The Healing Road LLC in pursuit of such enforcement.

10am - 6pm Saturday; 10am - 4pm on Sunday

BREAKDOWN CLOSE:

For those who are not staying for Sunday your breakdown will begin on Saturday at 6pm and be completed by 8pm

Sunday Breakdown will begin at 4pm and must be completed by 6pm.
